What happens when a new patient calls after hours?
The after-hours path is often the least observed part of a practice — and the easiest to test yourself in ten minutes.

Run the test on yourself
Call your own practice at 7pm from a number the team will not recognise. Then submit your own contact form. Note what you hear, what you receive, and how long it takes for someone to respond.
Practice owners are often surprised by at least one step in this sequence.
What a defined process looks like
Someone owns the recovery of after-hours contacts by name, not by role. There is a stated window — for example, all overnight inquiries are returned before 10am.
Attempts are recorded somewhere another person can see. A callback that only exists in someone's memory cannot be followed up when they are away.
Why voicemail alone is fragile
Voicemail asks the patient to invest effort with no confirmation that anyone will respond. Some will; the ones who do not will usually contact another practice rather than complain.
An automated acknowledgement that sets an expectation — even without booking — changes the patient's decision at that moment.
