How to evaluate patient communication software

A short, practical framework for comparing communication tools without relying on feature lists.

Technology · 6 min read

Start from the moments, not the features

List the moments where communication actually matters in your practice: an unanswered inquiry, a confirmation, a reminder, an unscheduled treatment, a lapsed patient.

Then ask each vendor to show that specific moment. Feature matrices compare products; moments compare outcomes.

Check the write-back

The decisive question is what the tool records back into your practice management system automatically. Anything it does not write back becomes manual work for someone.

Consider who operates it

A tool that requires daily attention from a specific person will fail during holidays. Prefer processes that degrade gracefully when the usual operator is absent.

Decide the measurement in advance

Reply rate, appointments from reactivation, or inquiries answered within an hour — pick one before purchase, and read it a month after.
